Administrative Support 

 

DESCRIPTION:  Lorain County Public Health is seeking a full-time Administrative Support in the Administrative Services Division with a focus on environmental health. The typical workday is Monday – Friday 8:00 am to 4:30 pm with evenings and weekends as needed.  

FUNCTION

Under general supervision of the Administrative Services Supervisor: assist the public; answer telephone system; utilize electronic record systems; perform data entry and typing; process fee statements, calculations, and balance functions; issue licenses and permits; organize and look-up data and files; and create/modify spreadsheets. Perform other related duties as required or upon directive in emergency operations.

 

JOB DUTIES

  1. Collect monies and issue receipts, licenses, and/or permits.
  2. Process monies, billings, etc.; verify the accuracy of the total.
  3. Process data and specific statistical information accurately for reports and special applications.
  4. Manage and update databases, spreadsheets, and electronic records systems.
  5. Perform precise administrative support duties requiring some independent judgment.
  6. Sort items alphabetically, numerically, or by subject matter; maintain updated records and complete routine forms.
  7. Deliver excellent customer service; answer agency telephone system and greet/direct the public; answer questions and provide information.
  8. Communicate information both in writing and verbally in a clear and concise manner with staff, public, and external partners. 
  9. Work collaboratively on team projects.
  10. Maintain confidentiality and secure handling of sensitive data.
  11. Other duties as assigned.

 

MAJOR WORK CHARACTERISTICS

Prior office experience is highly preferred. Extremely detail-oriented; proficient computer skills; comfortable with Microsoft Office and Google Suite; experience with electronic records systems; communicate effectively verbally and in writing; calm in a fast-paced environment; team player. Bilingual in Spanish is preferred.

 

PHYSICAL REQUIREMENTS & UNUSUAL WORKING CONDITIONS: Able to lift objects of weight up to twenty-five (25) pounds. This position is office-based at LCPH and may require travel across Lorain County. Must be able to sit and stand for long periods and bend and stretch as needed throughout the work day.

 

REQUIRED 

Possession of a high school diploma or equivalent. Possession of a valid Ohio driver’s license with ongoing proof of auto insurance and ability to travel with reliable transportation. 

 

COMPENSATION: $16.87-$21.54/hour plus excellent benefits package which includes medical, vision, dental, and life insurance plus paid vacation, personal leave, holidays, and sick leave.
