TITLE: Operations Manager
CLASSIFICATION: Full-time; FLSA Exempt; Unclassified
PAY RANGE: Salary range $64,792.00 - $90,708.80. Commensurate with experience
WORK HOURS: Days and hours of work may vary; Travel to satellite locations will be required; Nights/weekends/holidays may be required
POSITION OVERVIEW:
The Operations Manager is responsible for the day-to-day clinic operations, to create positive experiences for patients and staff, and to maximize appointment availability and access to care.

REQUIRED MINIMUM QUALIFICATIONS:
- Bachelor’s Degree and five (5) years’ experience working in a health care setting with at least two (2) years in a supervisory capacity. OR Associate Degree with seven (7) years’ experience working in a health care setting with at least two (2) years in a supervisory capacity.
PREFERRED QUALIFICATIONS:
- Bachelor’s Degree.
- Experience with NextGen Electronic Health Records, or similar EHR.
REQUIRED LICENSE/CERTIFICATION:
- Current Clinical certification/licensure, such as Medical Assistant or Registered Nurse. Licensure must be maintained throughout employment.
- Valid Ohio Driver’s License. Must be maintained throughout employment.
ESSENTIAL DUTIES:
- Responsible for day-to-day operations of assigned site(s) and program(s) including patient and staff schedule management.
- Monitors daily encounters and no-show rates and ensures all appointment slots are filled. Provides weekly encounter reports to Health Center leadership.
- Identifies opportunities to optimize schedule templates based on patient needs.
- Responsible for pre-visit and intake operations to ensure required information is collected from patients and that providers have appropriate documentation prior to the patient encounter.
- Supervises assigned staff including performance evaluation and ensures direct reports complete required trainings.
- Oversees assigned site(s) staffing schedule to ensure appropriate coverage for hours of operation.
- Develops staffing plans for assigned site(s) and program(s) following approved staffing ratios, submits requisitions for open positions, and works in collaboration with the CEO and Human Resources on applicant screening, interviewing, and selection.
- Responsible for meeting key performance indicators for assigned site(s) and program(s) and for identifying opportunities for workflow improvement.
- Develops and updates operations workflow documentation and relevant procedures.
- Responsible for monitoring budget expectations and identifying opportunities for efficiency, cost savings, and revenue generation.
- Monitors phone call data to ensure patient calls are answered in a timely manner and makes recommendations for phone routing and recording changes.
- Responsible for responding to patient grievances of an operations nature, coordinating an appropriate response, and identifying areas for improvement.
- Working in collaboration with the Clinical Quality Manager and clinic staff, responsible for patient satisfaction metrics.
- Working in collaboration with the Clinical Quality Manager, identifies potential EHR modifications, changes and additions.
- Responsible for supply inventory and purchasing for assigned site(s) and program(s) in alignment with the approved budget.
- Manages interpretation workflows ensuring access to interpreter services when needed, and confirms appropriate patient materials are translated and readily accessible.
- Manages provider on-call schedule.
- Serves as back-up support for front desk and patient rooming operations, as appropriate.
- Miscellaneous duties as assigned.
Knowledge, Skills, and Abilities:
- Effective supervisory skills.
- Effective oral and written communication skills.
- Advanced knowledge of HIPAA and OSHA policies and procedures.
- Strong organizational skills and the ability to bring together a team to achieve goals and objectives.
- Ability to provide proof of automobile insurance.
- Ability to successfully pass a background check.
- Ability to work alternate hours (early morning, late evening, and/or weekends).
- Ability to lift 55 pounds as needed.

Work Environment:
- Travels to off-site and satellite locations.
- Responds to emergency calls.
- May come into contact with secondhand smoke, communicable diseases, blood, bodily fluids, allergens, dusts, cleaning supplies, insects and animals.
- Lift, climb, bend, twist, kneel, squat, stand, push, roll and support up to 55 pounds.
- Sit, stand, stoop and/or walk.
- Grasp with manual dexterity.
- Manipulate a keyboard and other technology
