Secretary, Assistant to the Health Commissioner

Hours: Full-time, M - F 8 am - 4:30 pm
Starting Salary: $19.62 - $24.18/hour
Minimum Qualifications:
- A High School diploma with coursework in office procedures
- Five years progressively responsible secretarial experience
- Experience utilizing PC and advance function database/word processing systems
- Ability to key at least 50 wpm
Responsibilities include but not limited to:
- Performs administrative tasks in support of the programs assigned to the Office of the Health Commissioner
- Maintains and updates electronic filing systems which includes agreements, contracts, mileage and travel documentation
- Schedules appointments, prepares agenda, and completes required documentation
- Completes meeting minutes for various committees including Diversity and Inclusion, Community Overdose Action Team and Quality Improvement
- Coordinates and schedules training for staff as needed
- Assists with various reports and collection of data, proofreads documents for accuracy and completeness
- Assists with Performance Management budgets
- Assists with the purchase requisition process which includes completing purchase requisitions, processing for approval and follow-up as needed
- Coordinates record retention activities
- Performs support functions which include typing letters, memos, contracts, sorting and distributing mail, answering phone, copying, and maintaining office supplies
- May provide back-up to the Administrative Assistant to the Health Commissioner as needed which includes attendance at Board of Health Meetings and transcribing minutes
- Maintains confidentially
- May be required to play an active role in the event of a public health emergency, which may include changes in responsibilities and working hours
